Prestonwood Christian Academy School System Contractor Photography & Videography Policy
Prestonwood Christian Academy School System ("PCA") is committed to providing a safe, secure, and Christ-centered environment for all students, staff, and guests. This policy establishes guidelines for photographers, videographers, and social media content creators who are hired by PCA or by parents/guardians to photograph or film PCA students during school-sponsored activities, including but not limited to athletic events.
Request and Approval Process
- All Contractors must submit an online form to the campus Athletics Office at least three (3) business days in advance of the game or event they wish to attend.
- Requests must include the Contractor’s full legal name, business name (if applicable), contact information, purpose of the coverage, and the specific student(s) to be filmed or photographed.
- The Campus Athletics Director (or designee) will review the request and determine whether the Contractor may be approved to receive a sideline or courtside media pass.
- Approval is granted on an event-by-event basis and may be revoked at any time at PCA’s sole discretion.
Vetting and Identification
- Contractors who are granted access must check in upon arrival and receive a visitor badge through PCA’s Raptor system.
- If the event is after hours, the contractor will need to come to campus during school hours to receive a visitor badge.
- Badges must be worn visibly at all times while on campus or at a PCA-sponsored event.
Access and Conduct Guidelines
- Contractors are permitted to photograph or film only the specific student(s) identified in the approved request.
- Contractors may not capture, distribute, or publish images or video of other students without prior written consent from PCA.
- Access is limited to designated areas as determined by the Athletics Director or event administrator. Contractors must remain within assigned areas at all times.
- Contractors must comply with all PCA policies, campus rules, and directions given by PCA staff or event personnel.
Use and Distribution of Content
- All images and video captured by Contractors are for personal or private use only, unless otherwise approved in writing by PCA.
- Content may not be used for commercial purposes, promotional materials, or monetized social media accounts without prior written authorization from PCA.
- PCA reserves the right to request removal of any content that is deemed inappropriate, unsafe, or inconsistent with PCA’s mission, values, or privacy expectations.
Safety, Privacy, and Compliance
- PCA prioritizes student safety and privacy. Any behavior that compromises safety, disrupts events, or violates student privacy will result in immediate removal from campus and revocation of media access.
- Failure to comply with this policy may result in denial of future access for the Contractor and/or the parent/guardian who engaged the Contractor.
PCA reserves the right to make exceptions to this policy for school-approved media, special events, or unique circumstances at its sole discretion.
